Microsoft Outlook tips inbox calendar tips contacts microsoft office sent items personal folders pst outlook address bookThe purpose of this document is to describe how to set up an initial mail profile and how to verify that the mail profile is correct as well as correct mail profile problems. There will be three sections to this instruction:
  • Initial Setup of Mail Profile
  • Verification of Mail Profile
  • Removal of Mail Profile

If during verification of the profile you find problems, you will use the removal instructions and then the initial setup instructions to re-create the mail profile.

Note:
Please do not confuse the mail profile with the NT profile. The NT profile is maintained on the PDC under the profiles share as well as in the local machine under c:\winnt\profiles. Do not modify the users profile in these locations. The mail profile is only to be modified using the methods shown in this instruction.

Initial Setup of Mail Profile
Note: Ensure Outlook is closed
  • Open Mail Settings
  • Select 'Start - Settings - Control Panel'
  • In 'Control Panel' double click on the 'Mail' icon

Since this is an initial set up of Exchange, the services box should be empty.
Add the Exchange service

  • Click the 'Add.' button
  • In the 'Add Service to Profile' window, select 'Microsoft Exchange Server'
  • In the 'Microsoft Exchange Server' window, type 'MIAEX01' into the 'Microsoft Exchange Server' text box.
  • Clear the 'Mailbox' text box and type the username into it.
  • Click the 'Check Name' button
  • Click the 'Ok' button


Add the Outlook Address book service

This gives the customer the ability to send mail to entries in the Contacts folder.

  • Click the 'Add.' button
  • In the 'Add Service to Profile' window, select 'Outlook Address Book'
  • Click the 'Ok' button

Add the Personal Folders service

  • Click the 'Add.' button
  • In the 'Add Service to Profile' window, select 'Personal Folders'
  • In the 'Create/Open Personal Folders File' window, browse to the customers H: drive. (See Example 1)
  • Type in the name of the file using the username with a .pst extension (See Example 1)

  • Click the 'Open' button
  • In the 'Personal Folders' window, click the 'Ok' button

Close the 'Delivery to Exchange Server Properties' window

  • Click the 'Ok' button

Note:
If you launch Outlook at this time, the user should see their mailbox and the personal folders. The user should also be able to send and receive e-mail.

Verification of Mail Profile
Note: Ensure Outlook is closed

Open Mail Settings

  • Select 'Start - Settings - Control Panel'
  • In 'Control Panel' double click on the 'Mail' icon

Ensure all services are present

  • You should see each of the following services in the 'Delivery to Exchange Server Properties' window
    - Microsoft Exchange Server
    - Outlook Address Book
    - Personal Folders

Check the 'Microsoft Exchange Server' service

  • Highlight 'Microsoft Exchange Server'
  • Click the 'Properties' button
  • Ensure the 'Microsoft Exchange Server' text box has either MIAEX01 or MIAEX02
  • Ensure the 'Mailbox' text box has the customers name
  • Click the 'Ok' button

Close the 'Delivery to Exchange Server Properties' window.

  • Click the 'Ok' button

Note:
If any of the services were missing or configured incorrectly, please refer to part three of this document, 'Removal of Mail Profile'. When you are done removing the Mail Profile, then refer to Part One of this document, "Initial Setup of Mail Profile."

Removal of Mail Profile
Note: Ensure Outlook is closed

Open Mail Settings

  • Select 'Start - Settings - Control Panel'
  • In 'Control Panel' double click on the 'Mail' icon

Note:
In the 'Deliver to Exchange Server Properties' window, Highlight each server listed and click the 'Remove' button. Ensure you remove ALL of the services in the list box below the label 'The following information services are set up in this profile:'

Close the 'Delivery to Exchange Server Properties' window.

  • Click the 'Ok' button

Log the user off the computer

  • Select 'Start - Shutdown'
  • Highlight the radio button next to 'Close all programs and log onto a different computer?'
  • Click the 'Yes' button

Log the user back onto the computer by hitting the 'Ctrl', 'Alt, and 'Delete' keys simultaneously.

Note:
In order to recreate the mail profile for the user, refer to Part One of this document, 'Initial Setup of Mail Profile'
